What is a customised HR software?

Customised HR software is a tailored HR information system designed to meet the unique requirements and processes of a specific organisation. It offers the flexibility to select and adjust modules to fit the company‘s HR needs.

Customised HR Software – Why is it a better option then one-size-fits all?

There is so much choice available for HR teams when choosing the right HR software including off the shelf, one-size-fits-all HR software, and customised HR software

At first glance, off-the-shelf options may seem more appealing due to their lower cost and quick implementation time. However, this software typically only provides basic HR functions and doesn’t allow for customisation to meet specific needs.

However, each organisation has different policies and HR needs and requires unique solutions. Therefore, there is a growing requirement for cloud-based customised HR software that can be branded and mapped to the existing processes of an organisation.

However, each organisation has different policies and HR needs and requires unique solutions. Therefore, there is a growing requirement for cloud-based customised HR software that can be branded and mapped to the existing processes of an organisation.

10 Benefits of a Customised HR Software

1 - Maps to the Existing Processes

Software customisation simplifies mapping of existing requirements and processes of the organisation. The processes are automated without making changes in the existing workflows.

2 - Customised Branding

When your software is customised for your organisation, you have input into the look and feel of the software, like change in color scheme, fonts, layout, logo, menus, reports, features and more, can be done to provide a tailored user experience.

3 - Better Data Security and Privacy

When working with sensitive data such as confidential personal information, contact details, bank accounts and salaries, security must be the no.1 concern.

Did you know? The most vulnerable data is personally identifiable information.

Hackers are more likely to target commonly used software. Customised HR software is less attractive to target as it is more effort to learn how to breach the system.

Data Protection

4 - Roles and Permissions

Custom HR software typically offers comprehensive, secure role-based access and permissions to maintain confidentiality. By tailoring the software to the specific hierarchy and rules of the company, consistency can be ensured throughout.

5 - Good Customer Support

With customised software, you can expect excellent customer support, including full training and a dedicated help desk for any questions you may have, so you won’t be left to navigate the software on your own.

6 - Custom Forms

HR teams can choose fields for forms in advance and create a library of what they need. With many one-size-fits-all software, there is no way to change the fields and you are stuck with rigid form templates which might not suit your organisation.

7 - Tailor-made Reports and Easy Identification of Trends

Generate multiple tailor-made reports for HR, management, and CEOs, as well as required reports for the government. Customise your dashboards and enable easy analysis of data to help you make quick decisions. Patterns in absenteeism, workforce productivity, headcount, appraisal, employees’ leave frequency, and goal completion status can be further identified.

8 - Attract and Retain Top Talent

Give applicants and workers a personalised experience by customising your recruiting procedures and giving tailored offerings. This will not only increase the engagement levels but will aid in attracting and retaining top talent.

9 - No Hidden Costs

One-size-fits all software base price can seem very appealing. But it can come with hidden costs. If you want to make minor changes to the software it can cost a lot of money or require a report that isn’t in the software package. Customised HR software can easily adapt to your needs and requirements.

10 - No Redundant Features

Choosing a customised solution gives you the ability to select the modules your company requires and offers the flexibility to modify or add to your business functionalities as your needs change.

Hybrid Work Set Up – are you on top of it? 2020 has brought massive changes to the workforce. It has moved a significant number of employees from working 100% in an office to remote working models. The trends also indicate that few companies want to return to full office work. Businesses have surprisingly found remote work to be more cost-efficient, more productive and leading to more employee satisfaction.

However, many team leaders face challenges in how to set up teams following different working models and how to keep team spirit alive while catering to different needs.

Let’s find out what different work models can be considered within your team and how YOU ensure a smooth set-up.

Different Work Models Explained

Remote Work

Co-located employees

Hybrid Work set-up

Remote Employees

Remote work allows professionals to freely choose where they want to work. They are free to work wherever as long as they can work efficiently and bring the expected results. Some employers however can limit the flexibility within a contractual agreement to put controlling measures in place. That way employers can establish core business hours & meetings. This type of work allows recruiters to hire employees not limited to a specific city or country. It allows hiring qualified employees from a worldwide talent pool.

Co-Located Employees

Co-location is the most traditional way to work: Employees commute to a shared office building to collaborate & work face-to-face with co-workers. Usually, every worker has a designated desk and meeting rooms available. This type of work only allows hiring workers in the closer proximity of the office building.

Hybrid Employees

Hybrid work models are the way of the future as research indicates.  These employees usually work a set number of days per week remotely and come into an office for the rest of the time. The challenge with this model is to ensure the needs of the employees for both, remote and co-located.

Set-Up the Workplace for Different Needs

Setting-up a workplace catering to different needs can be tricky but not impossible. Consider the following steps and come closer to a happy & productive work environment. Value the different needs equally & keep team spirit high. You have a hybrid workforce? Consider the tips for remote & co-located workers.

REMOTE WORKERS

Provide the same equipment no matter the location

Just because your employees do not have a desk in one of your offices, does not mean they do not need one at all. To ensure that they have the same chance to be productive and successful as your co-located workers, you must acquire all equipment you usually would. Examples would be a laptop, second screen, office chair and access to specific software.

Set up clear rules & boundaries

Communicate the rules and boundaries for a remote position, including core working hours, work flexibility, meeting availability and company processes. Besides, make sure that the remote employee knows exactly who to contact for what issue. Contacts for IT and HR are a great way to start.

Ensure data security

Within a remote work set-up, you usually do not have much of an overview of how secure your company secrets are. Make sure that your company data security guidelines are applied and put restrictions on working in cafes or such in place if you worry about data security preaches.

Video conferencing tools

Video conferencing and collaboration software  (teams, webex, slack, etc.) are a must if you want to have a productive and collaborative team environment. Also, this allows remote workers to easily connect with co-located or other remote workers making working less “lonely“.

1:1 conversations

One-to-one-conversations are a big YES when it comes to remote work. There is little to no chance otherwise to get to know your remote worker, learn about their difficulties, their successes and start building a trusting relationship. Schedule regular meetings, listen and let your employee know that they are important.

Implementation of HR Software

HR Software is the go to for scheduling time off, checking working times and availability. This allows you to simply see when specific workers work and receive an overview of who is available in the office and remotely. Also, remote workers can simply track their time, check their overtime, put annual leave in or simply see who is working to better plan ahead.

CO-LOCATED WORKERS

Utilize your workspace

Co-located workers will utilize the office space differently, hence why you may need to reorganize & restructure it. Fewer workers will be working at a desk regularly, but more workers will come together to have meetings. Create more collaborating space and meeting corners to cater for these new needs.

Easy implementation of video conferencing tools with room booking

Try to implement a solution that allows room booking at the same time as scheduling video conferences. You ask why? In a hybrid working environment there will be many meetings where co-located and remote workers need to take part in a meeting. Not being able to book both in advance will result in co-workers wasting 10 minutes of the meeting time to find a room. Also, not having video conferencing equipment within the meeting room will make dialling in a challenge by itself.

Hybrid Workers = Co-Located + Remote Needs

Clarify rules & expectations

To set up a hybrid work environment, it is almost impossible to make it work, if you do not provide the employee enough information. Let the employee clearly know, when they must be in the office, to what degree they can choose their remote working days and how to communicate. This will diminish any misunderstandings right at the start.

Apply same tips as for remote & co-located workers

Make sure to consider the points mentioned under remote and co-located workers. Hybrid workers have both needs as they do have two workplaces that they alternate.

A hybrid work set-up can be made more efficient with the right tools and technology. If you want to find out more about how an intelligent and simple-to-use HR Software can benefit you and your team’s productivity & efficiency, check out this page.

Did you know that:

In the UK, employees take an average of 5.8 days sick a year?
In Germany, this number is almost twice as high at 10.6 days a year?
The most common day for employee absence is Monday and the least common is Friday?

If you keep these figures in mind, managing and tracking employee vacation requests and absences is a crucial part of running a business successfully. Time is precious and valuable. If it is not managed correctly, companies not only face confusion and frustration among employees but will also lose money. It is therefore important to implement accurate processes. This will keep employees happy and the business running smoothly.

Find out about 5 problems that effective absence management can solve – not only saving you money but improving the efficiency of your business.

  • Depreciation of Good Employees

No recorded reasons for an employee’s absence can easily lead to false impressions caused by a lack of communication: Is a child sick and the parent has to stay home? Has a tragedy occurred? Has the employee taken their well-deserved vacation or is the employee sick?

This differentiation of the reasons can help to analyze the collected data and not write off an excellent employee for an unavoidable and unspecified tragedy. Also, the options for reasons of absence provide an excellent basis for follow-up meetings, appraisals or personnel planning forecasts in case of noticeable absence patterns.

  • No Overview of Personnel Capacity

If no absence management software is available and all absences due to illness, leave requests and other absences are stored in a table, this can cause delays in the communication chain from the employee to the HR department and the responsible manager.

This delay can mean that management is unable to respond to productivity problems or stress within departments because they cannot track immediate staff levels. Therefore, absence management software can improve communication and transparency within the company and thus prevent these bottlenecks.

  • Employees are Unsure about Absence Arrangements and their Absence Status

Have you ever asked your employees to tell you the absence regulations of your company? Or the extent of the vacation already taken? If you find that employees cannot find this information, it is time to change the process. Empower your employees to manage and track their absences.

By giving them access, they easily can manage their absences, submit absence requests, see how many days of leave they have taken, requested and planned. Managers on the other side can easily track their team members’ absences and allocate resources accordingly – not to mention freeing up your HR department!

  • Unclear Communication of Company Rules and Regulations

Can I take Christmas off? Is Monday a holiday? These questions are perhaps just a few of the many that your HR department is regularly asked. Absence management can solve this problem: a simple implementation of company rules that are displayed in the calendar function. If the employee wants to take a holiday on one of these days, they will receive a notification.

  • Overflow of the HR department’s E-mail Account with Absence Notifications and Leave Requests

Keeping track of all absence requests and notifications can be a resource-intensive task and challenge – not to mention updating spreadsheets and monitoring absence allowances!

Absence management increases productivity, efficiency and workflow by replacing these e-mails with easy-to-use, automated, accurate and fast software. This allows your company to relocate newly gained resources.

Do you see any of these problems happening in your company? Then we invite you to learn more about our NOVATIVE Absence Management module or request a demo.

How Appraisals can Help Your Employees

For many employees, job satisfaction has become a significant element of staying with their current employer. Annual appraisals have become increasingly important to keep in touch with what your employees are thinking and feeling. Enabling managers to set common goals, and development. However, the appraisal process can often be a last minute rush and may not be well-thought-out. Leading them to be an empty process with no results. With the right tool, appraisals can enhance the relationship of an employee and their manager and become a benefit to the company overall.

What are 360-Degree Appraisals?

360-degree feedback is a performance appraisal method that gathers feedback on an individual from several sources. The idea of the process is that it gives managers and individuals a better overview of skills and performance. As well as working relationships of the employee, rather than relying on the single point of view of the line manager.

The theory for gathering 360-degree feedback is that, in some organisations, managers will not fully understand the contribution of the people they manage. This may be due to the fact the employee is in multiple teams, for example. There is, therefore, a strong argument for obtaining wide-ranging information to form an accurate picture of performance.

Who Should Take Part in the Process?

Feedback gathered for a 360-degree review is usually obtained from between eight-ten people. The chosen people to take part will be given a questionnaire or provide structured feedback. Reviewers should represent different types of working relationships with the employee, for example, senior colleagues or customers. The employee will take part and give their point of view on their performance.

360-degree questionnaires can consist of statements the reviewers will be able to rate the employee against the statement, for example, one-five with one ‘poor’ and five ‘excellent’. There will often be an option for further comments within the questionnaire.

Before the review process takes place, it’s essential to establish a clear and consistent understanding of excellent performance across the organisation, as well as to ensure that the organisational culture enables individuals to give and constructively receive feedback.

Old methods of collecting 360-degree feedback have been using paper processes. This is not efficient and does not secure. To gain full insight into what people think for the reviews, you need to ensure a secure method, this will give the reviewers the freedom to write exactly what they feel without it being broached. NOVA Smart appraisal module supports the 360-degree module, and it is efficient, secure and automated.

CIPD have cited these benefits of using appraisal software:

‘Many employers now make use of online systems for a 360-degree appraisal, which can bring the following benefits:
Recipients can choose the competencies on which they wish to receive feedback.
Confidentiality is improved, as questionnaires and reports can be protected by passwords.
Accuracy is enhanced as online system settings can ensure that essential data is provided.
Data entry settings can also improve the quality of feedback by, for example, requiring that a minimum number of questions are answered and stipulating minimum percentages of critical and positive feedback.
Reports are available online; answers can be collated instantly, so reports are immediately available and up-to-date, while they can also include a comparison with previous feedback.
The amount of administration required is much reduced as individuals can be responsible for managing their feedback, requesting feedback and chasing late questionnaires.
Demographic information can be collected and fed into the production of summary reports.’

Central All-In-One Platform

What does an all-in-one platform mean? Many businesses have processes for each process, whether that be manual with paper or digitally. Either way, this is a very time-consuming method, which does not give you the overall picture, where things can get overlooked or missed. NOVA Smart covers all your essential HR processes in one place, giving you a central database to fundamental processes such as recruitment, appraisals, work schedules, expenses, absence management. This saves time as you are not logging in and out of different digital HR apps, or sifting and filing paper. It also gives a full picture of HR in your company.

User-Friendly Software

It is all very well purchasing some software for your business that has all these capabilities, but it is useless if your workforce cannot use it. NOVA Smart has a very user-friendly interface. The self-service portal for managers and employees is very clear and easy to use.

Reports & Analytics

Businesses are under more pressure to be more transparent with their workforce data. Many experts see statements such as the Gender-Pay-Gap report as just the beginning with these type of reports and believe the government will soon require businesses to provide a wide variety. Analysing HR data will also give you insights into many aspects of your business, and give you the power to make confident data-driven decisions.
